This privacy policy explains how The Event Nexus and its parent company, Malone Media Productions, LLC, collect, use, disclose, and protect personal information associated with our website, event registration, virtual programs, on-demand training, and communications.
Last updated: October 26, 2026
1. Who is responsible under this privacy policy?
The Event Nexus is operated by its parent company, Malone Media Productions, LLC, located at 45 Anthem Circle, Ponte Vedra, FL 32081, United States. In this privacy policy, “we,” “us,” and “our” refer to that company in connection with The Event Nexus.
This notice covers theeventnexus.com, our registration pages, conferences, workshops, training library , and related customer communications. Where applicable law uses the term, we are the controller for processing whose purposes and means we determine. A provider’s role depends on its activities and the relevant agreement.
Separate notices or terms may apply to a particular program or third-party service. This privacy policy explains information practices; visiting our website does not by itself constitute consent to optional tracking or marketing.
2. What personal information do we collect?
- Contact and professional details: names, email addresses, telephone numbers, organization names, job titles, and information supplied in inquiries, forms, or chat.
- Registration and transaction records: programs selected, attendee details, billing information, order records, payment status, and related correspondence. Payment services process payment details through their checkout systems.
- Participation information: attendance, replay access, questions, surveys, evaluations, and certificate-related information where collected for a program.
- Technical and usage information: IP addresses, browser and device information, referring pages, pages viewed, timestamps, and cookie or similar identifiers, depending on the services used and applicable choices.
- Communication records: messages, subscription preferences, consent records, unsubscribe requests, and support interactions.
Sources include information you provide, information generated through your use of our services, and information supplied by someone arranging registration on your behalf, such as an employer or team organizer. Providers involved in registration, payments, and participation may supply related service records.
You can decline optional information. Without information required to complete a purchase, registration, or support request, we may be unable to provide the requested service. Please avoid submitting unnecessary sensitive information through email, forms, or public chat.
3. Why do we use personal information?
We use relevant information to administer registrations and purchases; deliver event access, training materials, and replays; respond to questions; provide support; manage certificates where offered; maintain business records; improve our programs; protect our services; and meet legal obligations. We also use communication preferences to manage event announcements and other marketing.
Where EU or UK data protection law applies, necessary registration, purchasing, and service delivery rely on performance of a contract or steps you request before entering one. Required accounting and other statutory records rely on legal obligations. Proportionate customer support, fraud prevention, service security, and improvement rely on legitimate interests in operating and protecting our business, subject to applicable balancing requirements.
For marketing, analytics, or other activities requiring consent, consent is the relevant basis. Where marketing is legally permitted on another basis, our interest is promoting relevant professional training, subject to your right to object. Recording-related processing uses the basis appropriate to the activity and required event-specific notices or permissions. You may withdraw consent where relied upon without affecting earlier lawful processing.
4. How are event participation and recordings handled?
The Event Nexus offers live programs and recorded, on-demand training. Replay availability, access periods, materials, evaluations, and certificates depend on the program and its registration information.
Depending on the event format and your participation, recordings or associated records may include a displayed name, image, voice, question, chat contribution, or other material you submit. Recorded program content may be made available to authorized registrants or on-demand purchasers. Event-specific information governs any additional distribution.
Review recording notices and participation settings before contributing. Available options depend on the platform; contact us before an event if you have concerns about appearing in a recording. Please avoid including confidential employer, client, or personal information in shared contributions. This privacy policy does not grant an unlimited publicity release or replace permissions required by law.
5. Which providers and recipients are involved?
Information may be handled by personnel and contractors supporting The Event Nexus and Malone Media Productions, LLC, and providers supporting hosting, registration, payments, communications, event delivery, video, analytics, security, and customer support.
- HubSpot: used in public-facing registration and payment links, subscription forms, and website chat. Processing depends on the feature and configuration. See the HubSpot privacy policy .
- Vimeo: used for embedded video on certain program pages. Loading or using a player can involve device, usage, and cookie information. See Vimeo’s privacy information .
- Meta: certain registration pages include Meta pixel code, which can support advertising measurement and related advertising features. See the Meta privacy policy .
Providers may act on our behalf under relevant agreements or process certain information for their own purposes under their notices. We do not characterize all provider processing as anonymous.
For a team or employer-arranged registration, information needed to administer the purchase or participation may be exchanged with the organizer. Any sponsor or partner collection or independent marketing use is subject to the relevant event notice, applicable law, and any required choices or consent. Sponsorship alone does not constitute your consent to independent marketing.
Disclosures may also occur to comply with law, protect legal rights, prevent fraud, or support a business transaction such as a merger or asset transfer, subject to applicable protections.
6. How does this privacy policy address cookies and analytics?
Cookies, pixels, local storage, and similar technologies can support essential functions, preferences, chat, embedded media, usage measurement, and advertising. IP addresses and online identifiers can be personal information even without a name. Some technologies operate for a session; others persist until expiration or deletion.
HubSpot features, embedded Vimeo players, and Meta technologies may process device or activity information depending on their configuration, interaction, and applicable choices. Advertising technology may link activity across services or support targeted advertising.
Where consent is required, optional technologies must not operate before that consent. Use cookie controls presented by the relevant site or service to manage available choices. You can also block or delete cookies through your browser and review advertising settings offered by the providers. Browser controls may affect functionality and may not control all tracking methods.
A privacy request sent by email does not instantly remove cookies from your device. Contact us for assistance with tracking choices. Legacy “Do Not Track” settings differ from legally recognized opt-out signals such as Global Privacy Control. Where applicable law requires recognition of an opt-out preference signal, that signal must be treated as a valid opt-out for the processing it covers.
7. How can you manage email and other marketing?
Our mailing list provides event announcements, invitations, and training updates. You can unsubscribe from promotional emails using the link provided or contact us using the details below. We honor opt-outs within applicable legal deadlines and retain limited suppression information where needed to respect your preferences.
Unsubscribing from promotional email does not prevent necessary non-promotional messages about an existing purchase, event access, service issue, or privacy request. Consent to optional marketing is separate from purchasing training where required by law.
If you separately enroll in an SMS program, the notices and instructions supplied with that program govern enrollment and available STOP/HELP options. This privacy policy does not itself enroll you in text messages or authorize them.
8. How long do we retain information?
Retention depends on the information and its purpose. We assess the duration of the customer relationship, access commitments, support needs, applicable accounting and legal requirements, dispute periods, and legal holds.
- Inquiry and support records are retained as needed to address requests and maintain relevant correspondence.
- Registration, participation, and transaction records are retained for service administration and applicable business or legal requirements.
- Recordings and related materials are retained for program delivery, replay access, and legitimate content-management needs, subject to applicable permissions and obligations.
- Marketing records are retained while relevant to permitted communications; limited suppression records may remain after an opt-out.
- Technical records and backups follow applicable operational and security cycles.
Information is deleted or de-identified when no longer needed, subject to lawful exceptions. Deleting information from active systems may not immediately remove isolated backup copies. Contact us about a particular record or retention question.
9. How do we protect personal information?
We use reasonable administrative, technical, and organizational safeguards intended to protect information against unauthorized access, alteration, loss, and disclosure. No internet transmission or storage system can be guaranteed completely secure.
Please protect access credentials and avoid sending payment card details through ordinary email or chat. If a personal information incident occurs, we provide notifications required by applicable law. Nothing in this privacy policy limits mandatory notification duties or your legal rights.
10. Is information processed internationally?
Our business is based in the United States. Providers may process information in the United States and other countries, where laws can differ from those where you live. International processing remains subject to applicable legal requirements.
Where EU or UK transfer restrictions apply, a restricted transfer requires an applicable adequacy decision or other valid safeguard or legal mechanism. Contact us for information about the destination and safeguards relevant to your information, including how to request a copy where applicable. Using our services does not by itself waive these protections or supply transfer consent.
11. What privacy rights and choices may you have?
Depending on your location, applicable law, and the processing involved, you may have rights to access or obtain a copy of personal information; correct inaccuracies; request deletion; restrict processing; object to certain processing, including direct marketing; obtain portable data; or withdraw consent where relied upon.
Applicable US state laws may also provide rights to opt out of sale, sharing for cross-context behavioral advertising, targeted advertising, or certain profiling; limit certain sensitive-information uses; and appeal a denied request. Advertising-related disclosures can fall within “sale” or “sharing” under some laws even without payment. The availability of these rights depends on the law’s scope and exceptions; this notice does not imply every law applies to our business.
Send requests to info@malone-media.com , use our contact form , or contact us by telephone or mail. For an applicable advertising opt-out, identify your request as “Privacy opt-out.” To appeal a decision where an appeal right applies, reply to the response or contact us with “Privacy appeal” in the subject.
We may need proportionate information to verify identity or an authorized agent’s authority where permitted. Do not send government identification unless requested through an appropriate secure process. We respond within applicable legal deadlines, explain lawful limitations, and do not unlawfully discriminate against people for exercising their rights.
Where applicable, you may complain to your data protection authority, including the UK Information Commissioner’s Office or the relevant EU supervisory authority. You do not have to waive that right to contact us first.
12. Are our services intended for children?
Our services are intended for adults aged 18 and over, consistent with our event website terms. We do not knowingly collect personal information from children under 18. If you believe a child has supplied information, contact us so we can investigate and take appropriate steps, including deletion where required. Our 18+ service rule is not a statement that every privacy law defines children in the same way.
